The Black Book Co. respects your privacy and handles personal information carefully and discreetly. This policy explains how we collect, use, hold and disclose personal information when you make an enquiry, submit a private brief, engage our services, interact with us as a venue or supplier, or otherwise deal with us.
We aim to handle personal information consistently with this policy and, where applicable, the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
1. What information we may collect
Depending on how you interact with us, we may collect information such as:
- your name, email address, telephone number and other contact details;
- your employer, role or professional contact details where relevant;
- information about an occasion, event, trip, reservation or experience you ask us to curate or coordinate;
- preferences such as location, timing, budget, desired style, privacy requirements and venue preferences;
- dietary, allergy, accessibility or other health-related information you choose to provide where it is relevant to an occasion;
- information about another person where you ask us to arrange something on their behalf;
- communications with us, including enquiries, feedback and service history;
- venue, partner and supplier contact information, operational details, imagery and other information supplied for our private partner database; and
- basic technical information generated when you use our website, such as IP address, browser information, server logs and necessary cookies.
2. How we collect information
We generally collect personal information directly from you when you submit an enquiry or brief, correspond with us, speak with us, make a booking or payment, attend an event, or otherwise provide information to us.
We may also receive information from a person acting on your behalf, such as an executive assistant, personal assistant, colleague, family member or authorised representative, or from venues and suppliers involved in delivering a requested service.
If you provide personal information about another person, please ensure you are authorised to provide it or have a reasonable basis for doing so.
3. Why we use personal information
We may use personal information to:
- respond to enquiries and assess private briefs;
- curate suitable venues, accommodation, dining, activities, transport and other experiences;
- prepare private Blueprints, itineraries and recommendations;
- coordinate bookings, suppliers, confirmations and timing where you engage Full Concierge;
- communicate with clients, prospective clients, venue partners and suppliers;
- process or reconcile payments;
- maintain our private partner and client records;
- improve our services, website, processes and client experience;
- manage legal, accounting, security and administrative requirements; and
- send service-related communications and, where permitted, occasional marketing communications.
4. Sensitive information
Some information you choose to provide, particularly allergy, dietary, accessibility or health-related information, may be sensitive. We only seek this information where it is relevant to the service you have requested and use it to help identify, verify or coordinate suitable arrangements.
Where necessary, we may share relevant details with a venue or supplier so they can assess or meet the requirement. We aim to share only what is reasonably necessary for that purpose.
5. Who we may share information with
We may disclose relevant information to:
- restaurants, hotels, venues, experience providers, transport providers and other suppliers being considered or engaged for your brief;
- technology and service providers that support our website, database, email, document preparation, file storage, communications and business administration;
- payment providers when you choose to make a payment;
- professional advisers such as accountants, insurers or legal advisers where reasonably necessary; and
- regulators, courts, law-enforcement bodies or other parties where required or authorised by law.
We do not sell personal information to advertisers or data brokers.
6. Technology providers and overseas processing
We use third-party technology services to operate The Black Book Co. These may include website hosting, Airtable for structured operational data, email services, document-generation or AI-assisted tools, and payment providers.
Some of these providers operate internationally and may process or store information outside Australia, including in the United States and other countries in which their service providers operate. Provider locations and infrastructure may change over time.
Where appropriate, we take reasonable steps to select reputable providers and limit the information shared to what is reasonably required for the relevant service.
7. AI-assisted document preparation
We may use AI-assisted tools as part of our internal workflow to help prepare or format client-facing materials such as private Blueprints. We remain responsible for the client-facing output and review recommendations before they are provided to a client.
We do not rely on an automated system alone to decide whether to accept a client, choose a final recommendation, or make arrangements on a client’s behalf.
8. Payments
Where online payment is offered, payment-card or digital-wallet details are handled by the relevant payment provider rather than being intentionally stored by The Black Book Co. We may retain transaction details such as the amount, service selected, payment status and reference information for accounting and service administration.
9. Direct marketing
We may occasionally contact you about The Black Book Co. where you have consented or where otherwise permitted. You can ask us to stop sending marketing communications at any time by using an unsubscribe option where provided or by contacting us at concierge@theblackbookco.com.au.
Service communications relating to an active enquiry, booking or engagement are not marketing communications.
10. Security and retention
We take reasonable administrative and technical measures to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure.
We retain information for as long as reasonably required for the purposes for which it was collected, to provide and improve our services, to maintain appropriate business records, and to meet legal, accounting or insurance requirements. When information is no longer reasonably required, we may delete or de-identify it.
11. Access and correction
You may ask us to provide access to personal information we hold about you or to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading.

We may update this policy as our services, systems or legal obligations change. The current version will be published on our website with the date it was last updated.
